
✅ Membership Hold / Freeze Policy
At Smash Courts, our membership system is designed to provide consistent access, predictable court availability, and a stable community of active players. To maintain fairness for all members, holds are strictly limited and permitted only for legitimate medical reasons.
1. Eligibility for Holds
A membership may be placed on hold if the member has a Medical condition/injury that prevents safe participation for 30 consecutive days or longer
Required Documentation
A hold request must include a doctor’s note, physiotherapist note, chiropractor note, or nurse practitioner note confirming:

The member is unable to participate for 30+ days or longer

The estimated duration of recovery (start & end dates)
Non-medical holds are not permitted.
2. Hold Limits
To ensure fairness and maintain membership capacity:

Members may request one (1) medical hold per 12-month period

Maximum duration of each hold: up to 60 days

Extensions require updated medical documentation
Holds beyond 60 days will only be granted in exceptional circumstances supported by clear medical evidence.
3. Billing and Timing

Holds begin on the first day of the next billing cycle

No retroactive holds

Monthly billing pauses during the hold

Annual/prepaid memberships will have their end date extended by the length of the approved hold

Dues or credits will not be refunded for unused days prior to the hold start date
4. Access During Hold
While on hold, members:

Cannot book courts
-
Cannot join programs, events, or open play
-
Do not receive member pricing
-
Cannot purchase guest passes or attend as guests
This ensures fairness to active members.
5. Submitting a Hold Request
Members must:

Complete the Membership Hold Request Form (available on-site)

Provide valid medical documentation
-
Submit at least 7 days before their next billing date
Requests without documentation will not be considered.
Administrative Fee
A Hold Administration Fee of $ 30 per hold request applies.
This fee covers:

Form processing; Manual account adjustments; Scheduling & billing changes; Verification of medical documentation; This fee is non-refundable and applies to all approved holds.
6. Reactivation
Membership automatically reactivates on the date listed in the medical documentation.
No reactivation or restart fee applies.
7. Abuse or Misuse of Hold Privileges
Smash Courts reserves the right to deny future hold requests or terminate membership if:

Documentation is falsified

The policy is misused
-
Requests exceed allowable limits
