✅ Membership Hold / Freeze Policy

At Smash Courts, our membership system is designed to provide consistent access, predictable court availability, and a stable community of active players. To maintain fairness for all members, holds are strictly limited and permitted only for legitimate medical reasons.

1. Eligibility for Holds

A membership may be placed on hold if the member has a Medical condition/injury that prevents safe participation for 30 consecutive days or longer

Required Documentation

A hold request must include a doctor’s note, physiotherapist note, chiropractor note, or nurse practitioner note confirming:

  • The member is unable to participate for 30+ days or longer

  • The estimated duration of recovery (start & end dates)

Non-medical holds are not permitted.

2. Hold Limits

To ensure fairness and maintain membership capacity:

  • Members may request one (1) medical hold per 12-month period

  • Maximum duration of each hold: up to 60 days

  • Extensions require updated medical documentation

Holds beyond 60 days will only be granted in exceptional circumstances supported by clear medical evidence.

3. Billing and Timing

  • Holds begin on the first day of the next billing cycle

  • No retroactive holds

  • Monthly billing pauses during the hold

  • Annual/prepaid memberships will have their end date extended by the length of the approved hold

  • Dues or credits will not be refunded for unused days prior to the hold start date

4. Access During Hold

While on hold, members:

  • Cannot book courts

  • Cannot join programs, events, or open play
